LP reporting from a data room after the raise
LP reporting is the quarterly and annual information a GP sends investors after the raise: capital account statements, fund financials, portfolio updates, fees and performance. A data room works as the reporting portal if each LP sees only its own capital statement, the fund-wide pack sits in one place, and every release is logged.

How this raise works
Most LPAs require quarterly reports and audited annual financial statements. ILPA updated its Reporting Template in 2025 and added a Performance Template, with a renewed focus on fee and expense detail. ILPA says the updated Reporting Template replaces the 2016 version for funds still in their investment period during Q1 2026 or starting operations on or after January 1, 2026. More LPs now ask for it by name.
For registered advisers relying on the audit approach under the custody rule, the audited financial statements of a private fund go to investors within 120 days of the fund's fiscal year end. Quarterly packs are commonly due 45 to 60 days after quarter end under the LPA. Missing either date is something LPs remember at the next raise.
Reporting is also future fundraising material. When a GP returns to market, prospective LPs ask for the last several quarterly reports of the current fund. A tidy archive, organized by quarter and with the same structure each time, answers that request in minutes.

Setting up the room
- 01
Fix a reporting calendar
Take every deadline from the LPA and side letters and set dates for each quarter and the annual audit.
- 02
Use one structure every quarter
Same folder names, same file names, same order, so LPs and future prospects find things without asking.
- 03
Map statements to investors
Bulk upload capital statements and K-1s with a naming rule that routes each file to the right LP folder.
- 04
Notify on release
Send one notice when the pack is live and use the log to see which LPs have not opened it.
- 05
Keep the archive ready
Leave past quarters in place so the next fund's DDQ can point to them.
Common mistakes
- Uploading a capital statement to the wrong LP folder.
- Changing report structure each quarter, which makes trends hard to read.
- Treating the 2025 ILPA templates as optional when a large LP asked for them in its side letter.
- Sending K-1s by unencrypted email.

Questions and answers
What is included in LP reporting?
Quarterly letters, fund financial statements, capital account statements, portfolio updates, fee and expense detail and performance, plus audited annual statements and tax forms.
Do I have to use the ILPA Reporting Template?
No law requires it, but many institutional LPs ask for it in side letters or as a condition of investing. ILPA updated the template in 2025.
Can a data room replace an investor portal?
For many emerging and mid-size managers, yes, if it supports per-LP folders, bulk routing of statements, notices and an access log.
