A fundraising roadshow and the room that follows each meeting

A fundraising roadshow is a run of investor meetings over a few weeks. The room does the work between meetings: send a short follow-up set after each pitch, open deeper folders as interest grows, and use the access log to decide which investors get the second meeting.

Raise documents and process

How this raise works

A private roadshow for a fund raise or a growth round usually runs city by city, with the GP or CEO pitching LPs, family offices or funds in a compressed schedule, often arranged by a placement agent or banker. A public IPO roadshow is a different exercise governed by registration rules and run by underwriters; this page is about private raises.

Investors rarely decide in the room. They ask for the deck, the track record or financial model and some background, then share it with a committee. Sending a consistent, tracked follow-up within a day keeps the momentum and stops versions from drifting.

Access data replaces guesswork. An LP that spent time in the track record folder and came back twice in a week is a better use of the next meeting slot than one that never opened the link. Keeping one group per investor makes that visible.

Setting up the room

  1. 01

    Group investors before the trip

Create one access group per investor so each follow-up and each view is attributed correctly.

  2. 02

    Send within a day

After each meeting, open the deck and summary to that investor and send the link the same day.

  3. 03

    Open by stage

Release the track record or model to engaged investors, and offering documents after qualification.

  4. 04

    Read the log weekly

Rank investors by time spent and return visits, and plan second meetings from that list.

  5. 05

    Keep notes next to files

Record what each investor asked in an internal folder, so the next conversation starts where the last ended.

Common mistakes

  • Different deck versions left with different investors during the same week.
  • Opening offering documents before checking the investor qualifies.
  • Ignoring access data and chasing the loudest investor rather than the most engaged.

Questions and answers

What is a roadshow in fundraising?

A concentrated series of meetings with potential investors, often in several cities, to present the fund or company and gather commitments.

What should I send after a roadshow meeting?

The deck, a one-page summary and the material the investor asked for, through a tracked link, ideally the same day.

Is a private roadshow the same as an IPO roadshow?

No. IPO roadshows follow registration rules and are run by underwriters. Private roadshows follow the rules of the exemption you rely on, such as Reg D.
